At low volume, memory works fine for tracking inventory. Past a certain point — usually somewhere around 50-100 active listings — that stops being true, and a real system becomes worth the setup time.
What to actually track
- Item cost (allocated per-piece from pack cost)
- Listing date, per platform if cross-listed
- Current price and any markdowns
- Status — active, sold, returned
- Sale price and platform fees, so profit per item is calculable, not just guessed
Spreadsheet is enough at moderate volume
A well-structured spreadsheet (Google Sheets or Excel) handles this fine for most resellers well into hundreds of active listings, especially with basic formulas for profit-per-item and running totals. The failure mode isn't the tool — it's not updating it consistently.
When dedicated software earns its cost
Cross-listing tools (that sync inventory status across Poshmark, eBay, Depop, etc. automatically) become worth the monthly cost once manually updating multiple platforms after every sale starts eating real time — the main value is avoiding the embarrassment and lost trust of selling an already-sold item on a second platform.
The bottom line
Start with a spreadsheet you'll actually maintain consistently rather than an elaborate system you'll abandon after a week. Upgrade to dedicated software when manual cross-platform updates become the actual bottleneck, not before.
